DealerX contacts

Overview

A Contact is a customer or prospect. One contact can have several leads over the years. Contacts are kept unique per account by mobile phone first, then email: adding a contact with a phone number you already have updates that contact instead of making a second one, however the number was typed.

DealerX → Contacts is available to every user.

Steps

Find a contact

  1. Go to DealerX → Contacts.
  2. Your contacts are listed by last name (the first 200). To narrow the list, type part of a name, phone number or email in the search box and press Enter or click Search.
  3. The list shows the phone, email, dealership and how many leads the contact has. Click the name to open it.

Phone searches ignore spaces, brackets and dashes: "555 0123" finds "+1 (416) 555-0123".

Add a contact

  1. Click Add new contact.
  2. Enter at least a first or last name and a mobile phone or email. Address, birthday, anniversaries, preferred channel and the do-not flags are optional.
  3. Click Save. The contact opens.

To create a contact and a lead in one go, use Leads → New lead instead.

Edit a contact

Open the contact, change the fields under Details and click Save. If the new phone or email already belongs to another contact, the save is refused with a message; open that other contact instead. The Leads list below links to each of the contact's leads, and New lead for this contact starts a new one with the contact already chosen.

Delete a contact

Owners and admins see Delete contact on the contact page. After a confirmation it erases the contact and every lead of theirs, with all texts, emails, notes, tasks, appointments and files, and takes them off leads where they were a co-buyer. This cannot be undone. To remove a single lead only, use Delete permanently on the lead page.

Special dates

The Special dates in the next 7 days list on the Contacts page shows birthdays and anniversaries coming up, so reps can reach out.

Tips

  • Tick Do not text, Do not email or Do not call when a customer asks; later releases respect these before sending.
  • Preferred channel tells reps how the customer likes to be reached.
